Responsibilities
Manage extremely busy executive calendars, prioritize appointments and contact requests, resolve calendar conflicts, and negotiate rescheduling as necessary
Organize, prioritize and coordinate multiple work activities with the ability to meet deadlines
Assist with coordinating both internal and external quarterly meetings, off-sites and special events
Coordinate and manage travel arrangements (logistics), including transportation, accommodations and travel itineraries
Prepare/draft presentations, emails, and communications
Provide assistance with expense reports
Maintain trusting relationships with the Executive’s customers, team, and contacts
Exercise strong judgment and maintain a high level of confidentiality when dealing with sensitive information and business matters
Requirements
2-5+ years experience supporting senior executives and/ or C-level members
Extensive experience with the arrangement of complex schedules and logistics, across multiple time zones
Flawless execution of administrative activities, with high attention to detail, organization, and process
Interact professionally and build relationships with executives of all levels, prospects and internal team members
Ability to work on multiple projects, manage priorities, and accurately set expectations
Excellent common sense and ability to make solid judgment calls autonomously
Ability to be proactive and anticipate next steps
Ability to be flexible in response to changing priorities and needs
Excellent written and verbal communication skills
