Job Summary

An organization in the healthcare industry seeks to employ a personal assistant for  the MD. The ideal candidate could be either male or female, should be an excellent communicator and must have previous experience as a Personal Assistant.

 

Responsibilities

1. Act as the point of contact between the Managing Director and internal/external clients

2. Screen and direct phone calls and distribute correspondence

3. Handle requests and queries appropriately

4. Manage diary and schedule meetings and appointments

5. Make travel arrangements for the MD

6.    Devise and maintain the MD office filing system

7.    Perform other secretarial and administrative duties.

8.   Typing, formatting, and editing reports, documents, and presentations.

9.   Liaising with internal departments, answering calls, and making travel arrangements for the MD

10.   Managing internal and external correspondence on behalf of the MD

11.   Scheduling appointments, maintaining an events calendar, and sending reminders.

12.    Copying, scanning, and faxing documents, as well as taking notes.

13.   Prepare venue for scheduled meeting/ events and arranging refreshments, if required.

 

Qualifications/Requirements

• Proven work experience as a Personal Assistant

• Knowledge of office management systems and procedures

• MS Office and English proficiency

• Outstanding organizational and time management skills

• Up-to-date with latest office gadgets and applications

• Ability to multitask and prioritize daily workload

• Excellent verbal and written communications skills

• Discretion and confidentiality

• Bachelor’s degree in any social sciences discipline
